SECRETARY (OA) (Title 5)

DUTIES:
(This is not an all-inclusive list ) Support to one or more supervisors. Participates intensively in the management of the office by applying a good working knowledge of the program under control of the supervisor(s) and relieves the supervisor(s) of clerical and administrative support work. Prepares responses to requests for general information concerning the organization's functions from source material. Routinely composes non-technical correspondence, such as office procedures, requests for information concerning the organization's programs, letters of acknowledgment, commendation, or notification. Proofreads/edits correspondence and documents for correct grammar, spelling, capitalization, punctuation, and format. Reviews and processes incoming and outgoing correspondence, reports, and other materials submitted for the Commander's signature. Screens incoming mail to identify what needs to be brought to the attention of the supervisor, referred to appropriate staff, rerouted to other organizations/offices, or handled personally. Establishes and monitors suspense dates and brings to supervisor's attention those that cannot be met by requested date or when there is a conflict. Receives telephone calls, greets visitors and ascertains the nature of the calls or visits, screening those that can be handled without supervisor's help. Maintains supervisor's calendar, coordinates meeting arrangements, and schedules meetings and/or conferences including those involving staff from outside the immediate office. Experience:
Do you have progressively responsible clerical, office, or other work that indicates ability to acquire the particular knowledge and skills needed to perform the duties of the position to be filled. SPECIALIZED
Experience:
One year of specialized experience equivalent to at least the next lower grade (GS-05) or pay band in the federal service or equivalent experience in the private or pubic establishing and maintaining a database system for tracking/monitoring correspondence; Utilizing and maintaining office equipment (copier/printer, fax machine, telephones, etc); Operating Microsoft Office (Word, PowerPoint, Excel, Access, Outlook, etc); Running reports from an automated scheduling system; Coordinating with staff to ensure timely, effective travel arrangements; Providing general calendar maintenance i.e. maintaining calendars, recording appointments, and arranging for meetings; Memorandums; Maintaining office supply inventory; Assisting in compiling data and preparing reports; Screening incoming telephone calls and visitors.

Estimated Salary: $20 to $28 per hour based on qualifications.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
